2:30 a.m.    Graduates go into Large Gym for Headliner, most vendors start to pack up and pull out

3:50 a.m.    Headliner show ends

4:00 a.m.    Graduates head out to Science Quad for breakfast/Teacher Band plays

5:30 a.m.    Grand Prize Drawing (student must be present to win)

5:35 a.m.    Student goodbyes

6:00 a.m.    Grad Night ends

Volunteer Sign Ups and Your Point Of Contact


View the volunteer sign up report as of June 4, 2024 to confirm your assignment details for Grad Night. This list has been sorted in alphabetical order. We'll repost the report periodically to capture others who have signed up.


Each role has been assigned a lead as a point of contact. Your lead should reach out to you prior to Grad Night but if you haven't heard from them, or if you have questions about what to wear, what to bring, where to go—reach out to them.


If you need to cancel your shift please try to find a replacement and then email your point of contact and Jennifer Colson, jcolson@gmail.com. Please put CANCEL SHIFT in the subject line along with the date and time of your shift.


What You Need to Know


Where to park

 

On June 7th in the afternoon, parking options include the Junior Lot by the Los Gatos High School tennis courts, parking spaces along New York Avenue, Brooklyn Ave, Pleasant Street, or in front of the high school on East Main Street. There may also be additional street parking along High School Court. Seniors will utilize the Senior and Junior lots while attending graduation rehearsals. Grad Night organizers will also use the Senior Lot to assist vendors with Grad Night setup.


On Grad Night, we encourage volunteers and vendors to park on Brooklyn Avenue, spaces inside the Design Building parking lot, and in front of the school along East Main Street and High School Court.

 

The Senior Museum opens to the public at 4:00 p.m., and graduation begins at 6:00 p.m. We encourage you to arrive early, as parking options will become limited the closer it gets to 6:00 p.m.


Grad Night Check-In

 

On Grad Night, plan to arrive early for your shift so that you have time to find parking and check-in. You’ll enter Grad Night through the main doors of the Design Building located off Pleasant Street. All other entrances into our event space will be restricted. Our vendor and volunteer check-in tables will be on the first floor of the Design Building in the hallway. Once there, we’ll give you more details about your shift, issue your event credentials, and tell you where to go. When it’s time to leave, you’ll swing back by our vendor and volunteer tables to drop off your credentials and exit through the doors off Pleasant Street.

Event Credentials On Campus 

Parent/Guardian volunteers will be asked to wear a simple costume or a Grad Night apron while on campus. Your costume or apron will be your event credential, enabling security to identify you as someone who is authorized to be inside the event space. If you're uncertain of what to wear given the role you signed up for check with your volunteer point of contact.


No matter how much planning we do, things happen. Please bring your patience, comfortable shoes, and flexible attitude with you to Grad Night. It’s going to be amazing!

 

WiFi on Campus

 

We’ve partnered with the district to create two guest networks for Grad Night. One network will be dedicated to supporting our event check-in system, Security Team, and student experience. The second guest network will be accessible for vendors and volunteers while on campus. Details will be shared at our vendor and volunteer check-in tables.

 

Emergencies and Security Escalations

 

Security issues or medical emergencies arising during Grad Night will follow our Grad Night emergency procedure policy. Escalations will be directed to our Security Chair, Bill Frangieh, 650-619-3659. We have seven senior parent volunteers who are also registered nurses or medical doctors, and they'll be on hand covering our First Aid shifts throughout the night. Additionally, a Steering Committee Chair will be stationed at Gate 10, Baggage Claim and First Aid, off Chicago Avenue at all times.

 

There will be a mandatory security briefing for all volunteers on Wednesday, June 5, from 5:00 p.m. to 6:00 p.m. in the large gym.


Food & Beverage

 

On Grad Night, June 7, we’ll have coffee, water and snacks on hand inside our Parent Lounge which is located inside the Design Building, Room D105. This room is next to our vendor and volunteer check-in tables. Personal water bottles or travel mugs will not be permitted inside the event space. 

 

Grad Night provides a safe and sober event for our Graduates. Parent/Guardian volunteers who have been drinking will be asked to leave.


If working the event, please do not eat any of the food or drinks provided for the Graduates. 


Restrooms

 Vendors and volunteers may use the restrooms located inside the Design Building on the first floor in the Parent Lounge.

 


Campus Map for Grad Night


Parents are encouraged to provide rides for seniors on Grad Night. Student drop-offs will be in front of the Design Building entrance off Pleasant Street. Students will then walk down to our Grad Night entrance in front of the Music Building off New York Avenue.


Students who drive to Grad Night will be directed down New York Avenue and instructed to park in the lower lot first. We'll turn New York Avenue into a one-way street from 10:00 p.m. to midnight to help facilitate safe traffic flow.
